Privacy Policy
1. Who operates this application
Ronnie Relay is operated by Ronnie Samuel ("we", "us", the "Operator") on infrastructure the Operator controls. Contact: ronnie@ronniesamuel.com.
2. Scope
This application does not create accounts for, market to, or provide services to any third party. The only "user" is the Owner. Meeting participants whose audio is captured while the Owner attends a meeting are data subjects addressed in Section 4.
3. What data we process
- Meeting audio from meetings the Owner attends, captured for the purpose of transcription.
- Transcripts and AI-generated notes derived from that audio.
- Meeting metadata — meeting title, date/time, join link, and participant display names as shown in the meeting.
- Calendar event details from the Owner's own connected calendar, used only to know which meetings to join.
- Zoom authorization tokens (a server-side JWT and, for externally-hosted meetings, a short-lived On-Behalf-Of token) used solely to let the Owner's assistant join the Owner's meetings. These are stored only on the Operator's server.
4. Meeting participants
When the Owner attends a meeting, the assistant joins as a clearly labeled participant ("Ronnie Relay") with a branded video tile, so its presence is visible to everyone. Audio is captured only for producing the Owner's transcript and notes. Recordings and transcripts are made available only to the Owner. We do not identify participants beyond the display names they present in the meeting, and we do not use their data for any purpose other than the Owner's notes. The Owner is responsible for providing any legally required notice and obtaining any required consent, and for honoring requests not to be recorded.
5. How we use data
- To transcribe the Owner's meetings and generate summaries and action items for the Owner.
- To deliver those notes privately to the Owner (by email and the Owner's private chat channel).
- To operate, secure, and debug the Owner's own deployment.
We do not sell data, share it with advertisers, or use meeting content to train machine-learning models.
6. Third-party processors
The application relies on a small number of services strictly to perform its function:

Each provider's use is governed by its own terms and privacy policy.
7. Storage, location, and retention
Meeting audio, transcripts, and notes are stored on the Operator's own server. They are retained for as long as the Owner finds them useful and are deleted at the Owner's discretion. Zoom access tokens are short-lived and are refreshed or minted only as needed to join a meeting.
8. Security
Access is restricted to the Operator. Traffic to this site and the application is encrypted with TLS. Credentials are stored server-side and are never displayed to meeting participants. See Security & Data Handling for more.
9. Your choices and rights
A meeting participant may ask the Owner to stop recording, to not be recorded, or to delete a recording or transcript of a meeting they attended; the Owner will honor such requests. Requests can be sent to ronnie@ronniesamuel.com.
10. Children
This application is not directed to children and does not knowingly process children's data.
11. Changes
If this policy changes, the updated version will be posted on this page with a revised date.
